Share the full run-sheet

Provide event type, date, venue, attendance and setup / teardown schedule so insurers can assess risk accurately.

Check venue requirements

Read your venue's insurance clause carefully — limits, additional insured parties and indemnity wording often differ between venues.

Purchase before setup begins

Policies must be bought before any setup work starts. The policy period should cover bump-in, the event itself and bump-out.

Cover part-time & temp crew

EC is mandatory regardless of full-time, part-time or casual status. Include every helper, MC, performer and tech crew.

High-risk activities need disclosure

Stunts, fireworks, motorised demos, drones, contact sports and minors must be declared — undisclosed activities may void the claim.

Add venue as additional insured

Most venues require you to add them (and sometimes their landlord / management) as additional insured — confirm wording matches their letter.

Consider cancellation cover early

Event cancellation is available as an add-on. If weather, illness or government order is a concern, discuss it at the quotation stage.
